IT and Operations Coordinator

Position Title: IT and Operations Coordinator
Status: FTE Full-Time, Salary, Exempt, Hybrid 80% Remote and 20% In Person

Reports to: Assets and Operations Director, Executive Director

Compensation: $50,000 - $60,000 annually depending on experience; generous and progressive benefits including medical and dental care, 100% of premiums paid by Unite Oregon, 3 weeks paid wellness leave, vacation, flex time, and personal days off; technology reimbursement; 4 hours personal time off/week, $300 annual FSA contribution, 2.5% 401K contribution after 6 months.

About Unite Oregon: Unite Oregon is a 501c3 grassroots community organization with four chapters, in Multnomah County, Washington County, Clackamas County, and Rogue Valley. We believe that all people can become leaders and agents of change in the areas of racial justice, immigrant and refugee rights, affordable housing, climate justice, and economic prosperity. Unite Oregon is building a unified intercultural movement for justice in our state.

Summary: Network Administration, Physical Network Management, Back-Up and Recovery, Support Staff Equipment Repair Needs, G-Suite Domain Administration. This role is new to the organization; therefore, it may be subject to development and continuous adjustment to meet its changing needs.

Position Description: The IT and Operations Coordinator is in charge of setting up, managing, and troubleshooting the technology systems that Unite Oregon uses to maintain the business operations. Their duties include responding to hardware problems, updating system software, and tracking the data and communications used for our processes while making recommendations to improve UO’s technical systems and ensure all employees have the technology they need to complete their work as well as keep the organization’s essential files and information safe and intact. Develop and implement operational strategies to improve efficiency and productivity. Collaborate with other team members to identify and resolve any issues or concerns. Respond to inquiries in a timely and sufficient manner.

IT Roles/Responsibilities:

SECURITY POLICY DEVELOPMENT

  • Review current security policies/guidelines and make recommendations for updates as needed.

  • Install software on and facilitate the setup of staff computers and maintain logistical guidelines for these processes.

  • Conduct review of software and hardware of staff computers as part of the employee offboarding process.

    COMPUTER and DEVICE MANAGEMENT

  • Maintain devices to be used for staff travel, e.g., laptops, phones, wifi-hotspots, recording apps, or tablets.

  • Ensure that devices have the latest software and operating system patches.

  • Maintain the company devices inventory list.

    SOFTWARE MANAGEMENT

  • Maintain an authorized/approved software list.

  • Maintain software license documentation physically/digitally available for review.

  • Maintain Paychex access levels and grant tracking compliance tools

  • NETWORK Management

  • Maintain current systems and staff access to tech tools such as Zoom, Paychex, Google Suite, RingCentral, etc.

  • Relaunch and develop a more effective version of our Intranet site.

  • Responding to staff needs and requests regarding IT-related questions, concerns, etc.

  • EVENT MONITORING & INTRUSION DETECTION

  • Enable security auditing on business critical systems

  • Notify staff when defined security threats are identified and make recommendations for mitigation.

  • INCIDENT RESPONSE

  • Notify a security response team of vulnerabilities, impact, necessary next steps, etc.

Operations Roles/Responsibilities:

ONBOARDING AND PERSONNEL

  • Hiring through offboarding logistics, i.e., email setup, delivery/receipt of company equipment, etc.

  • Assist staff with troubleshooting regarding Paychex concerns.

  • Manage and maintain new hire Onboarding/Orientation Schedules.

  • Assist staff with other IT requests, concerns, etc. as needed.

ADMINISTRATION AND CLERICAL

  • Handle and disseminate all incoming mail to the proper recipients.

  • Ensure renewal of various membership and renewal fees and assist with other office purchases as needed.

  • Facilitate ordering of office supplies and requests, as well as handle receipt and distribution.

  • Coordinate processing and delivery of all business card order requests.

  • Assist Assets and Operations Director with building needs such as utilities, constructions/renovation, maintenance, rent, compliance, etc. as needed.

  • Assist staff in navigating and using Asana for project management and set up templates in Asana according to org-wide process needs.

FISCAL MANAGEMENT

Required Qualifications

  • One to two years of experience working with IT and software-related job duties as described above.

  • Ability to work independently and take initiative while maintaining solid communication with and accountability to the Assets and Operations Director.

  • Experience working with individuals from diverse backgrounds.

  • Excellent organizational and record-keeping skills.

  • Proficiency in cloud-based systems, especially Google Suite tools.

  • Ability to manage multiple requests simultaneously and utilize time effectively based on task priority.

  • Commitment to racial justice and championing Unite Oregon’s mission and practice Unite Oregon’s values.

  • Fluency in generally accepted office practices.

  • Availability to meet the potential need for work during evenings and weekends on an ad hoc basis.

  • Ability to handle and maintain confidential information with demonstrated experience doing so.

  • Strong attention to detail.
