Bookkeeper

Position Title: Bookkeeper 

Reports to: Finance Director

Duration: Full Time Equivalent; Hybrid work (2 days in person per week)

Compensation: $55,000-65,000 per year depending on experience; generous and progressive benefits including medical and dental care 100% of premiums paid by Unite Oregon, paid wellness leave, vacation, flex time, phone stipend, 4.5 day work week, personal days off and $300 annual FSA contribution, work remotely, 2.5% 401K contribution after 6 months.

Position Description: The Bookkeeper works closely with the Finance Manager and Finance Director to record weekly transactions, manage financial information and to maintain up-to-date and fluid access to data. In addition to weekly transaction entry, the bookkeeper will assist with the documentation and improvement of financial processes to ensure accurate, timely accounting of cash flow. The bookkeeper will be responsible for the monthly close process, preparation of financial statements, quarterly reconciliations, semi-monthly payroll and adjusting entries as needed. This position will play a key role in ongoing departmental goals of documenting financial processes and cross-training colleagues to expand capacity and ensure long-term stability of the organization.

Job Duties

Finance and Accounting Support

  • Accurately enter and review financial entries in MIP Abila accounting database, including:

    Weekly recording of AP/AR transactions

    Weekly recording of payments and cash receipts

    Bi weekly recording and processing of cash disbursements to community members

    Semi-monthly import of reimbursement requests and employee expense reports

  • Create and upload payroll journal entries for 50+ staff working across various grant projects with

    distinct coding combinations.

  • Format and create accurate spreadsheets for importing credit card and EFT transactions

  • Complete monthly close cycle including bank reconciliations and recording of asset depreciation and amortization of prepaids.

  • Assist with annual financial audit; gather and compile support documents

Software Management Support

  • Update and maintain accurate information in multiple software systems: MIP Abila fund accounting database, ExpenseWire expense reporting software, Bill.com AP software, Asana project management software.

  • Provide ongoing documentation of accounting tasks; support in building departmental capacity building through cross-training with finance colleagues

Financial Reporting and Reconciliation

  • Complete grant closing process including quarterly release of restrictions

  • Produce monthly financial statements for board of directors

  • Maintain schedules of assets, employee advance repayments, prepaid insurance, others as needed

  • Support in invoice creation and expenditure reports to funders

Required Skills:

  • Commitment to racial justice and passion to champion Unite Oregon’s mission

  • Fluency in GAAP accounting principles and strong database management skills

  • Ability to effectively organize, track and record various types of financial data compiled from a variety of sources.

  • Excellent communication skills and ability to work with a diverse, multicultural staff, board, membership, and partners of various backgrounds.

  • Proficiency in cloud-based document sharing and editing

  • Understanding of differences between 501c3 and 501c4 designations and their financial requirements

  • Strong desk management skills and organizational abilities

  • Positive, solutions-oriented approach to team learning and collaboration

Preferred Skills, Abilities and Experience:

  • 2-5+ years of experience in non-profit accounting

  • 1+ years of grants management responsibilities regarding classification and tracking of restricted funding sources.
